KDP Tax Interview Guide: How to Complete Your Tax Profile

On this page

The Kindle Direct Publishing tax profile is completed through an online questionnaire. Known as the KDP tax interview, it collects information that Amazon uses to identify the publisher for United States tax reporting and withholding purposes.

The questionnaire is not a spoken interview and it does not calculate every tax obligation of an author or publishing business. It produces the tax documentation that corresponds with the answers supplied by the account holder.

Purpose of the Tax Profile

Amazon pays royalties to authors and publishers in many countries. It therefore collects legal name, address, tax classification, residence, and identification information from the person or organization receiving those payments.

Amazon states that it must receive and validate the publisher’s tax identity before new Kindle books can be published or existing Kindle titles can be updated. (Amazon KDP tax profile guidance)

The KDP tax interview also helps Amazon determine whether United States withholding applies to relevant royalty income and whether a reduced treaty rate may be claimed.

Accessing the Questionnaire

The tax profile is located in the KDP account settings. The usual sequence is:

  1. Sign in to Kindle Direct Publishing
  2. Open Your Account
  3. Locate the Tax Information section
  4. Select Complete Tax Profile
  5. Answer the questions and review the result before submission

The questions shown later in the interview depend on earlier answers. An individual, a corporation, a United States person, and a non United States person may therefore see different screens.

Information to Prepare

Before opening the KDP tax interview, the account holder should have the relevant legal and tax records available. Information commonly requested includes:

  1. Legal name
  2. Permanent residential or business address
  3. Country of citizenship or organization where applicable
  4. Country of tax residence
  5. Individual or business classification
  6. Tax Identification Number
  7. Information supporting treaty eligibility when applicable

The name and number should be entered exactly as they appear in the relevant tax authority’s records. A pen name, book imprint, or marketing brand is not normally a substitute for the legal taxpayer name.

Individual and Business Status

The questionnaire asks whether the account holder is acting as an individual or as an entity. This answer should reflect the legal and tax structure connected with the KDP account and royalty payments.

A sole author may complete the profile as an individual. A company that owns or licenses publishing rights may complete it as a business when the account and payment information also belong to that company. The appropriate answer depends on the publisher’s actual circumstances, not on which selection appears simpler.

United States Tax Status

One section establishes whether the publisher is a United States person for United States tax purposes. The interview uses this information to prepare the relevant form. Amazon’s guidance describes W 9 documentation for qualifying United States persons and W 8 documentation for qualifying non United States persons. (Amazon tax interview help)

Tax residence, citizenship, place of incorporation, and business structure can affect the answer. Publishers who are uncertain about their classification should consult an appropriately qualified tax adviser or tax authority rather than copying another publisher’s responses.

Tax Identification Numbers

A Tax Identification Number is an identifier assigned or recognized by a tax authority. Depending on the account holder, it may be a Social Security Number, Individual Taxpayer Identification Number, Employer Identification Number, or a foreign tax identification number.

Amazon states that a foreign tax identification number may be used in certain circumstances by a non United States publisher claiming eligible treaty benefits. (Amazon KDP tax number guidance)

An incorrect number, an incomplete name, or a mismatch between the two can prevent validation of the KDP tax interview. The result should therefore be reviewed before submission.

Withholding and Tax Treaties

United States source royalty payments to some non United States publishers may be subject to withholding. Amazon explains that the statutory rate can be 30 percent in applicable cases. A lower rate may apply when an income tax treaty covers the publisher and the necessary information is provided. (Amazon KDP withholding guidance)

The rate displayed by the interview is based on the information entered. It should not be treated as a general rate for every author in the same country because business structure, tax residence, identification records, and treaty qualifications may differ.

Validation, Expiration, and Updates

After submission, the Tax Information section displays the status of the profile. A validated status indicates that Amazon has accepted the tax identity information for its process. It does not represent a ruling by every tax authority that may have jurisdiction over the publisher.

Amazon states that W 8 documentation expires after the last day of the third succeeding calendar year following the year in which it was signed. A change in legal name, address, tax residence, business structure, or Tax Identification Number may also require an updated profile. (Amazon KDP renewal guidance)

Correcting an Invalid Profile

An invalid profile may result from a spelling difference, an incorrect identification number, incomplete information, or a record that cannot be matched. The account holder should compare the KDP entry with official tax documents and submit corrected information through the account.

Repeated validation problems may require assistance from KDP support or from the tax authority that issued the number. Sensitive tax information should be provided only through official and secure channels.

Scope of the Interview

The KDP tax interview supports Amazon’s reporting and withholding process. It does not file the publisher’s local income tax return, determine business registration requirements, or replace professional advice about tax residence and treaty claims.

The publisher remains responsible for understanding any additional reporting or payment obligations that apply outside the KDP platform.

Summary

The KDP tax interview records the legal identity, tax classification, residence, and identification number associated with a publishing account. Accurate answers allow Amazon to validate the profile, prepare the relevant tax documentation, and apply the withholding status indicated by the information provided.
